Who is responsible

ROOF is a private-beta product operated by Jacob Ogle in Northern Ireland, United Kingdom. Jacob Ogle is the data controller for information entered directly into ROOF. For privacy questions or requests, email info@roofperformanceandrecovery.co.uk. A service address will be added before billing or public account registration opens.

Beta access registration

If you register interest in beta access, we save your name, email address, athlete or coach interest, confirmation that you are 18 or over, and your contact consent and registration date. We use these details with your consent to contact you about beta access and launch updates. This does not create an account or collect health information. You can withdraw consent and request removal from the list at any time by emailing info@roofperformanceandrecovery.co.uk. We keep the registration while arranging beta access and launch updates, unless you ask us to remove it earlier.

Information we collect

• Account information: email address, authentication records and security events.
• Profile information: name, sport, position or event, competition level and team relationship.
• Health and performance information: check-ins, sleep, fatigue, soreness, stress, symptoms, injury history, training sessions and recovery preferences.
• Sharing choices: whether an athlete permits a connected coach to view reports.
• Technical information needed to secure the service, such as session cookies and limited request logs.

ROOF does not currently collect payment details, advertising profiles, precise location, device address books, photographs or data from connected devices.

Why we use it

Account and service data is used to provide the requested service and manage the account. Security information is used for ROOF’s legitimate interest in preventing misuse and protecting users. Health and wellbeing information is special-category data: ROOF asks for explicit consent before it is saved and does not use it for advertising.

Coach access and processors

A coach can view an athlete’s reports only after an active team connection and the athlete turns sharing on. Turning sharing off prevents future access, although it cannot recall information already viewed.

ROOF uses Supabase for authentication and database services and OpenAI’s ChatGPT Sites service for hosting. These providers process information to supply and secure the service. ROOF does not sell personal information and currently uses no advertising, analytics pixels or AI model to make risk decisions.

Team therapists and contact prompts

A team owner can add a therapist’s name, profession and email address, visible to active team members. The therapist has no ROOF account or dashboard access. Athletes separately opt in before new injury concerns can trigger a contact email. The email shares the athlete’s name, account email address and a request to get in touch following a concern, without the report, diagnosis, severity or location. Resend processes these emails. Email submission does not confirm delivery or that the therapist has read it.

You can switch these prompts off in Team. Changing the team therapist requires fresh consent. Contact preferences and notification records are retained while your account and team contact remain active, and are erased when you withdraw health-data consent. Switching off cannot recall emails already sent. Nearby searches open external websites; ROOF does not store your search area or send health reports to those services.

How long we keep it

Check-ins and training sessions are kept on a rolling 24-month basis. Injury history is retained while the account is active because it provides longer-term context, unless the athlete removes it or withdraws consent. Account and consent records are retained as needed to operate the beta, meet legal obligations and demonstrate user choices.

Your choices and rights

You may ask for access, correction, deletion, restriction, portability or an explanation of how your information is used. You can turn coach sharing off at any time. Athletes can withdraw health-data consent in Settings; this disables sharing and erases the saved ROOF health record. You may also complain to the UK Information Commissioner’s Office.

Age limit

The current private beta is for people aged 18 or over. ROOF must not be used for a child’s personal information until an appropriate child-safety, parental-authority and organisation agreement process is introduced.

Security and changes

ROOF uses access controls, encrypted connections, secure cookies and database row-level security. No online service can promise absolute security. Material changes to this notice will be shown in the product and will use a new policy version.
